Rental Policies – DM Car Rental

Vehicle Cleaning Policy
The vehicle is expected to be returned clean and in the same hygienic condition in which it was delivered. The renter must remove all personal belongings, trash, and debris from the interior. In case of spills or dirt during use, the interior must be cleaned or vacuumed as necessary. Smoking inside the vehicle is strictly prohibited, as smoke leaves difficult-to-remove odors and residues. If the vehicle is returned excessively dirty or with strong odors (e.g., tobacco), DM Car Rental reserves the right to charge an additional cleaning fee to cover professional cleaning services to restore the vehicle to an acceptable condition. This charge will be applied as outlined in the rental terms and conditions to ensure that the next client receives the vehicle in optimal condition.

Traffic Violations, Tolls, and Fines
The renter is responsible for any traffic violations, fines, tolls, and parking fees incurred during the rental period. Any violation or toll generated while the vehicle is in the renter’s possession will be the renter’s responsibility, even if the notice is received after the rental has ended. DM Car Rental is authorized to charge these amounts to the renter’s payment method, including a reasonable administrative fee for processing and managing these violations. If the violation is issued to DM Car Rental as the registered owner of the vehicle, the company may transfer the responsibility and the renter’s information to the relevant authority. It is advisable to pay any traffic fines as soon as possible to avoid additional penalties, which will also be the renter’s responsibility.

Liability in Case of Accidents or Damage
The renter is responsible for any accident, damage, or loss to the vehicle during the rental period unless optional damage coverage (such as collision coverage or damage waiver) has been purchased and all terms of such coverage are met. If no damage coverage is purchased, or if it is invalidated due to a contract violation, the renter will be liable for the total cost of repairs or the market value of the vehicle in case of a total loss. The renter is also responsible for the loss or damage of accessories, keys, tools, or any items provided with the vehicle. Additionally, the renter will be responsible for loss of use during repair and any administrative fees related to the incident.
Optional protections (such as Collision Damage Waiver or Supplemental Liability) may be available to limit the renter’s financial responsibility, provided the vehicle is used according to contract terms. These protections do not apply in cases of contract violation. Under Florida law, the renter’s personal liability insurance is considered the
primary coverage for third-party damages. If the renter does not have valid personal liability insurance, they must purchase primary liability and collision coverage from DM Car Rental or another qualified provider.
The renter is also fully responsible for paying any deductible required by the insurance provider in the event of a claim. All accidents, theft, or significant damage must be reported to DM Car Rental and local law enforcement immediately. Failure to report within 24 hours may result in the denial of coverage and full financial liability for the renter.

Rental Period Extension Procedures
If the renter wishes to extend the rental period beyond the scheduled return date and time, they must notify and receive approval from DM Car Rental before the original rental period expires. Extensions are subject to vehicle availability and may require prepayment. A new rental agreement may be required. Retaining the vehicle beyond the agreed time without written approval is a breach of contract and may result in legal action. Under Florida law, failure to return a rental vehicle on time and to pay applicable charges may be considered vehicle abandonment or unauthorized use and could be reported to authorities. Timely communication is necessary to avoid such consequences.

Grace Periods for Pickup and Return
Pickup: Clients are expected to arrive at the scheduled pickup time. DM Car Rental offers a courtesy grace period (typically up to 59 minutes). If the renter expects a longer delay, they must notify the company. Failure to arrive or notify within the grace period may result in the reservation being canceled and marked as a no-show, with applicable fees.
Return: A grace period of up to 59 minutes is typically granted for late returns. After this, late charges may apply, such as an extra hour or even a full day, depending on the duration of the delay. These policies may vary by rate or promotion.

Use Outside the State or Country
DM Car Rental vehicles are authorized for use only within the state of Florida. It is strictly prohibited to drive the vehicle outside the state or to another country. Unauthorized travel outside of Florida or the United States will be considered a contract violation, and the renter will be fully responsible for any resulting damages, losses, or
legal consequences. DM Car Rental may also apply additional charges for high mileage or excessive wear if the vehicle is driven long distances without prior notice or approval.

Vehicle Maintenance
DM Car Rental performs regular maintenance (e.g., oil changes, brake checks, tire inspections) prior to each rental. During the rental period, renters must not perform repairs without prior authorization. If the vehicle shows any warning lights (e.g., check engine, temperature, oil), the renter must notify the company immediately for instructions. Unauthorized repairs or tampering (e.g., disabling alarms, cutting wires) are prohibited.
The renter must responsibly operate the vehicle, refuel appropriately, monitor fluid levels, and respond to warning indicators. Ignoring visible warning signs and continuing to operate the vehicle may result in damage, and the renter will be liable for repairs due to negligence.

Prohibited Uses and Risky Conduct
The renter agrees to operate the vehicle legally and safely. The following are strictly prohibited and considered serious violations of the rental contract:
● Unauthorized drivers: Only approved drivers listed in the contract may operate the vehicle. Allowing unapproved persons to drive is strictly prohibited.
● Vehicle tampering: Altering the odometer, disconnecting GPS, or making unauthorized modifications is not allowed.
● Driving under the influence: Driving while impaired by alcohol, drugs, or medication is illegal and voids any coverage.
● Illegal or criminal use: Using the vehicle for illegal purposes, including transporting illicit goods or evading law enforcement, is prohibited.
● Commercial use without approval: Transporting passengers or goods for hire, such as ridesharing or delivery services, is prohibited unless specifically authorized in writing.
● Towing: Towing or pushing other vehicles is not allowed unless explicitly approved for a vehicle equipped for such use.
● Reckless driving or racing: Participation in races, stunts, or reckless driving is strictly forbidden.
● Off-road use: Vehicles may not be driven on unpaved roads or off-road terrain unless authorized.
● Overloading: The number of passengers must not exceed the seat belts available, and child seats must be used as required by law.
Violations of these restrictions may result in immediate termination of the contract, repossession of the vehicle, and full financial liability for any resulting damages. Optional insurance or protection packages will also be voided.

Cancellations, Refunds & No-Show Policy
● Cancellations made 48+ hours before rental: A $150 fee will apply, and the remaining amount will be refunded.
● Cancellations made within 24 hours: No refunds will be issued.
● No-shows: If the client does not show up without canceling, no refunds will be issued. If the reservation was unpaid, the full amount will be charged to the card on file.
Refunds (if applicable) will be processed via the original payment method. No refunds are issued for early vehicle returns. If a cancellation is due to DM Car Rental, a full refund will be provided, or a comparable replacement vehicle will be offered.

Age and Documentation Requirements
● Minimum Age: All drivers must be at least 21 years old. Drivers aged 21–25 may be subject to an underage fee.
● Driver’s License: All drivers must present a valid, unexpired license. International renters may be required to present a valid passport, Foreign Driver License and International Driver’s License.
● Credit Card: A valid credit card in the renter’s name is required for the security deposit. Prepaid cards or debit cards are not accepted for the deposit. The final
rental payment may be made using other methods depending on the case.
All documents (driver’s license, ID, and credit card) must match the same person.

Service Denial & Contract Termination
DM Car Rental reserves the right to deny service or cancel a reservation if the renter presents false information, poses a risk, fails to provide a valid credit card, or violates any part of the rental agreement. If the vehicle is used in a prohibited or negligent manner, DM Car Rental may reclaim the vehicle without notice. Renters are still responsible for all rental charges and damages until the time of termination. DM Car Rental may deny future rental services to individuals who breach these terms or demonstrate unsafe behavior.

Note: This Vehicle Use Policy document is a summary of the key terms and conditions for renting a vehicle with DM Car Rental. It does not replace the full Rental Agreement signed by the renter at the time of vehicle pickup. In case of any discrepancy, the specific clauses of the signed agreement and the applicable laws of the State of Florida and federal laws of the United States will prevail. Each section described herein is subject to those detailed terms and possible updates. By renting with DM Car Rental, the customer acknowledges having read, understood, and accepted these use policies, agreeing to comply with them fully throughout the rental period.
